WCTE 2027 - Guidelines for Authors

The WCTE 2027 Conference Committee invites researchers, practitioners, designers, and industry professionals to submit abstracts and papers for presentation at the World Conference on Timber Engineering 2027 (WCTE 2027), to be held in Edmonton, Canada, from 15 to 19 August 2027.

 

WCTE 2027 provides a global forum for the exchange of knowledge on timber engineering, construction, architecture, sustainability, and innovation, supporting the advancement of timber as a key material for the future built environment.

Abstract & Paper Templates

To help authors prepare their submissions, we’ve provided standardized Word templates for both Extended Abstracts and Full Papers. These templates outline the required structure and formatting to ensure consistency across all contributions.

Submission Information

The conference welcomes the submission of extended abstracts (2 pages).  All submissions will undergo peer review based on scientific and technical quality, originality and innovation, relevance to the conference themes, clarity of presentation, and practical and research impact.

Accepted contributions will be considered for either an oral or poster presentation.

  • Oral presentations: 20-minute presentations, including time for questions and answers, with a maximum of 20 slides.
  • Poster presentations: Printed A1 posters displayed at the conference venue and presented during designated poster sessions.

 

As only a limited number of submissions can be accommodated for oral presentations, submissions not selected for oral presentation will be considered for poster presentation.

Submission Requirements

  • All submissions must

    • be original and not previously published.

    • be written in English

    • be submitted in PDF format to follow the IEEE Reference style with numbered citations in square brackets.

    • adhere strictly to the formatting guidelines specified in the provided templates, including font size, style, margin dimensions, and other relevant specifications.

  • Extended abstracts must be 2 pages, and full papers must be 6-10 pages (for selected submissions).

  • Authors are responsible for checking spelling, grammar, and formatting before submission.

  • A maximum of two accepted submissions (abstracts or posters) is allowed per presenting author.

  • Upon acceptance, selected authors will be invited to submit a full paper for review and publication in the conference proceedings.

  • Submissions that do not follow the template may be returned for revision. Templates for extended abstract and full paper, and detailed instructions are available on the conference website.

Submissions Process

  1. All submissions must be made through the Fourwaves abstract submission portal. A Fourwaves account is required in order to submit, edit, or manage your work.

  2. Create or log into your Fourwaves account.
  3. Prepare your two-page extended abstract following the WCTE template and guidelines.
  4. Upload your abstract as a PDF through the submission portal.
  5. Complete all required submission fields (author details, keywords, topic/theme selection, etc.).
  6. Submit your abstract by the posted deadline.

Review Process

  • WCTE 2027 uses a non-blind review. Reviewers will see author names, affiliations, and all submitted information.

  • Extended abstracts are reviewed for:

    • relevance to WCTE themes

    • clarity of objectives and methods

    • contribution to timber engineering knowledge

    • coherence and quality of writing

  • WCTE employs a rolling review process; however, results will not be released until November, with the exception of Visa-requiring authors, who will be notified individually as soon as their review is complete, to support timely travel planning.

  • Full papers are then checked for completeness and adherence to formatting requirements. Peer review happens ONLY at the extended abstract stage.

Acceptance Outcomes

Following review, each submission will receive one of the following decisions:

  1. Accepted for Oral Presentation
    The author will be invited to prepare a full paper for publication in the proceedings.

  2. Accepted for Poster Presentation
    Posters require no full paper.

  3. Rejected

Top Five Most Common Mistakes to Avoid

  1. Not following the required two-page extended abstract template including margins, layout, font, and formatting. This is the single biggest cause of removals.

  2. Exceeding the two-page limit or submitting a file that does not match the required format (PDF, Times New Roman, etc.) submissions outside these parameters cannot be reviewed.

  3. Leaving out required submission information, such as the theme/topic, keywords, author details, or complete content (e.g., missing methods or conclusions).

  4. Submitting previously published or previously presented work, which violates WCTE’s originality requirements and leads to immediate removal.

  5. Uploading incomplete, placeholder, or non scholarly content, including abstracts that lack clarity, contain missing sections, or include promotional material instead of research.

At the time of full paper submission, presenters must indicate agreement with the following copyright conditions:

I hereby grant WCTE 2027 the right to publish the full paper I am submitting, in all formats and through any medium of communication, should it be accepted for inclusion in the official WCTE 2027 Conference Proceedings.

  • I understand that the full paper I am submitting will be checked for completeness and compliance with WCTE formatting requirements, and that it will be published in the official conference proceedings only if it is associated with an accepted oral presentation and presented onsite at WCTE 2027.

  • I confirm that the full paper is original, has not been previously published, is not under consideration elsewhere, and that I have obtained all necessary permissions for any third‑party material (such as figures, photographs, charts, or other visual content). I affirm that the contribution contains no unlawful statements and does not infringe on the rights of others.

  • I understand that I will retain copyright of the original submission for purposes such as personal archiving, institutional repositories, or sharing on personal or academic websites. However, I grant WCTE 2027 the rights necessary to publish the conference‑formatted version of the paper in the official WCTE 2027 Proceedings on Proceedings.com, including DOI assignment.

  • I understand that if my full paper is not selected for publication in the proceedings, or if the presenting author does not present onsite, the publication rights granted to WCTE 2027 will not apply, and all rights will remain with me as the author.

Frequently Asked Questions

What language should my abstract be written in?

All extended abstracts and full papers must be submitted in English, as English is the official language of WCTE 2027.

All submissions must be uploaded as a PDF and must follow the formatting specifications in the WCTE 2027 template, including required fonts and layout.

WCTE 2027 does not use a word‑count limit; instead, all extended abstracts must follow the required two‑page format, using PDF format, Times New Roman, and the layout specified in the official template.

Oral presentations are 20‑minute sessions and require authors to submit a full paper for publication consideration, while poster presentations involve displaying a poster during designated sessions and do not require full paper submission.

Abstract submissions close 7 August 2026. The specific deadline will be posted on the official WCTE Abstract webpage under Key Dates.

You may submit multiple extended abstracts; however, a maximum of two accepted presentations may be assigned to the same presenting author. If more than two of your submissions are accepted, you will need to designate alternative presenters for the additional presentations.

You may submit multiple abstracts, but you may appear in the final program as the first (presenting) author on a maximum of two accepted presentations. If more than two of your submissions are accepted, a co‑author must be listed as the presenting author for the additional presentations.

No. There is no limit to the number of co‑authors who may be listed on a submission, provided all listed individuals have contributed meaningfully to the work.

Yes. Each accepted presentation may have one or two presenters. This applies to both oral and poster presentations.

No. You may only submit different abstracts under the same or different topics/subthemes.

Yes, as long as the paper has not been previously published or presented. If you find out after submitting to WCTE that your paper has been accepted for publication or presentation at another conference, you can still present at WCTE as long as the publication or presentation date is after WCTE 2027. If it is before, you should withdraw the submission from WCTE.

Submissions may be removed from consideration if they:

  • do not follow the required template or formatting guidelines

  • exceed the two‑page limit

  • omit required fields (themes, keywords, author details, etc.)

  • include incomplete or placeholder content

  • duplicates a submission under another topic/theme

  • conflict with originality requirements (previously published or submitted elsewhere)

  • contains advertisements or promotional content rather than scholarly content
